The Executive Operations Assistant at Plant Candy will play a vital role in providing comprehensive administrative support to the company’s founders and team members. As a Virtual Assistant, you will be responsible for handling a wide range of tasks to ensure the smooth operation of daily business activities. Key Responsibilities:

  • Manage calendars, appointments, and schedules for the company’s founders and team members, ensuring efficient time management and coordination of meetings and events.
  • Handle correspondence, including emails, phone calls, and other forms of communication, promptly and professionally, and prioritize messages according to their importance and urgency.
  • Organize and coordinate meetings, including setting up virtual conference calls, preparing meeting agendas, taking minutes, and distributing relevant materials.
  • Maintain and update databases, ensuring accurate and up-to-date information is readily accessible to the team.
  • Conduct research on various topics, compile information, and provide summaries or reports as required by the founders and team members.
  • Assist in the preparation and editing of documents, presentations, and reports, ensuring accuracy, clarity, and adherence to brand guidelines.
  • Collaborate with other team members, departments, and external partners to facilitate effective communication and information sharing.
  • Take on ad-hoc administrative tasks as needed, demonstrating flexibility and the ability to handle multiple assignments simultaneously.

 

Requirements:

  • Proven experience as a Virtual Assistant or in a similar administrative role.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy in handling administrative duties.
  • Proficient in using productivity tools and software, such as Microsoft Office Suite, Google Workspace, project management platforms, and communication tools.
  • Excellent written and verbal communication skills, with a professional and courteous demeanor.
  • Ability to work independently and efficiently in a remote work environment, demonstrating self-motivation and accountability.
  • Discretion and confidentiality in handling sensitive information.
