Recruitment & Selection
Recruitment sub team is the beating heart of the HR Team. Recruitment Volunteers are responsible for:
- Understanding the needs of the business.
- Converting these to Volunteer Opportunities and publishing them.
- Responding to applicants in a timely manner.
- Rejecting applicants who do not meet the criteria.
- Creating Pre-Qualification Questionnaires and sending them to shortlisted applicants.
- Interviewing applicants.
- Preparing and sending out Volunteer Agreements for signatures.
- Storing Volunteer Agreements in company document folders.
- Change status of the Opportunities to “filled”.
They are also responsible for filtering the 41,000 volunteer database and inviting suitable volunteers to apply for published opportunities.
Onboarding & Training
Onboarding and training Sub Team takes over from the Recruitment and Selection Sub Team immediately after the signing of the Volunteer Agreement.
It is vital to organise the onboarding sessions immediately which includes:
- Creating email accounts and other user accounts for software tools they need access to.
- Sending the welcome emails with clear instructions.
- Adding them to collaborating software (e.g. Slack) and explaining the rules.
- Holding the onboarding meetings to the organisation.
- Handing over to the team leads and co-ordinating with team leads to organise any training needed.
They will also ensure the volunteers overcome any issues associated with accessing software tools.
Performance Monitoring & Succession Planning
SkilledUp Life Volunteers typically commit to 2 to 3 hrs per day for 60 volunteer days under a 3 month Volunteer Agreement.
Performance and Succession Planning team is responsible for:
- Monitoring the performance of the Volunteers.
- Surveying volunteers at the commencement, half way through and at the end to ensure both parties benefited from volunteering.
- Help Volunteers overcome any issues including any teething problems they might have.
- Ensure replacements are in place fully trained before the volunteer departs (succession planning).
- Response to any questions regarding policies, promotions and available volunteer positions.
- Engage with respective team leaders to issue certificates for high performing Volunteers who meet established the criteria.
The sub team is also responsible for terminating anyone who breaches the terms of the Volunteer Agreements in a timely manner.
Offboarding & Testimonials
Once the Volunteer Term has come to an end, it’s vital to swiftly offboard them from all of your software applications.
At the same time, you need to issue testimonials on SkilledUp Life and Linkedin as well as organise letters of recommendations.
